Pathfinder International is committed to facilitating access to and improving the quality of family planning, reproductive health, abortion, and community-based and facility-based HIV and AIDS care services. In partnership with host-country governments and nongovernmental organizations, we train health facility-based health care providers to improve the quality and range of their technical and counseling skills. Health facility-based services are improved through the provision of equipment and renovation of facilities. We mobilize communities to advocate for quality services and improve access through trained community-based volunteers. Pathfinder strengthens youth access to health care by creating adolescent- and youth-friendly services and training peer educators to promote them. In each project, Pathfinder works with our partners to improve their capacity for program management and implementation. Across all of our programs, Pathfinder strives to empower women, men, adolescents, and communities to make choices and create enabling environments for healthy reproductive behaviours.
The Purpose of the Position
This position supports the provincial team with regard to administrative tasks and ensures compliance with Administrative rules and procedures.
KEY ACCOUNTABILITIES (not all-inclusive)
Office Management
Supervises the general cleanliness of the office, ensuring that they are always clean, bathroom clean and with water and toilet paper;
Plan and facilitate maintenance and repairs of office equipment, furniture, air conditioning, water leakage, electricity purchases and others as required;
Assists in the organization of meetings and events.
Pantry and Kitchen
Supervises the pantry and ensures that water, coffee, tea and sugar are always available;
Supervises the kitchen inventory.
Office and training supplies
Keeps inventory of all stationery items for both office and training;
Makes distribution according to orders and keeps logistics informed for procurement and replenishment;
Assist in the organisation of training programmes, including training material and printing of necessary documents.
Travel and Accommodation
Keeps the travel and visit board up to date;
Responsible for hotel booking and travel logistics for all project agents.
Phones
Ensures that respective bills are paid on time after checking;
Ensures that all personal calls are reimbursed by their senders.
Fixed Assets
Act as focal point for the Asset Manager based in the central office, for tagging tasks and physical control of all equipment purchased or received by the office.
Transport Supervision
Establishes schedule for carrying out periodic vehicle maintenance;
Schedules, organizes and supervises trips according to the needs of technicians;
Supervises the proper use of logbook and supply password;
Implements the vehicle control system and maintenance records and actions required to maintain and improve vehicle efficiency and utilization;
Keeps finances informed about insurance and license renewals one (1) month in advance.
Other Performs any other duties as assigned by the Administrative Officer.
Basic Requirements:
Grade 12;
At least five (5) years of experience working in the management department of an organization;
Personal qualities include unassailable integrity, patience, tact, mature judgment, negotiation and interpersonal communication skills;
Must demonstrate mastery of computer skills in Excel the performance of their duties;
Ability to communicate in verbal and written Portuguese;
Must have worked in NGOs;
Knowledge of English language.
