Finance and Administration Assistant

IsraAID Mozambique is seeking a Finance and Administration Assistant to support a broad range of administrative and finance functions that support the organization’s financial activities.

The incumbent will also perform clerical duties such as filing, copying, scanning documents, send email, perform financial administrative assistance to the Finance Officer and the CMT. The person may also be requested to prepare accounting documents, handle inventory, check budget lines, schedule appointments, support administration of accounts receivable, prepare packing list, invoices, and receipts for further approval of the Finance Officer.

The position reports to the Finance Officer and responds also to the Country Director and the Operations Manager. 

Job Briefing:

IsraAID Mozambique looks forward to hiring a Finance and Administration Assistant who is responsible for handling a range of financial and administrative tasks. The successful candidate will have excellent organizational skills and be able to work well under the pressure of tight deadlines and attention to detail in compliance to corporate rules, regulations and templates. The incumbent will also be responsible for maintaining copies of financial records and providing support to the financial team upon requests from the Finance Officer and or the Country management Team.

Qualifications and Skills

Job Duties:

  • Support the finance officer in conciliating accounts payable and accounts receivable, including deposits and bank reconciliations
  • Scan and keep digital copies and photocopies of original documents as requested by the Finance Officer
  • Update registers of fixed assets, including inventory control and related issues
  • Track purchases and inventory in compliance to standard procedures
  • Support purchasing and inventory updating
  • Perform other administrative duties as requested by the Finance Officer and the Country management Team.

Responsibilities:

  • Pre-check accounting processes, including accounts receivable, accounts payable, payroll, and payments according to the Finance Officer requests
  • Support the Finance Officer in processing transactions, invoices, and payments, and reconcile bank accounts
  • Pre-check online invoices and online governmental payment obligation in specific public administration websites, retrieve, print and deliver all necessary paperwork for the Finance Officer processing
  • Assist with internal and external audits, including information processing and document preparation according to specific requests of the Finance Officer and / or the CMT
  • Contribute to preparation of financial reports and statements as per directives received form the Finance Officer or CD

Requirements And Skills:

  • Technical degree in Finance, Accounting, Business Administration or bachelor’s degree in business administration
  • 1+ years’ administrative assistant experience
  • Understand and apply banking terms, regulations, and practices
  • Excellent communication and customer service skills
  • Strong computer skills and familiarity with financial and office software (MS Office tools)
  • Detail oriented, organized, and able to work in teams.
  • Proficient command of English is an advantage
