Responsibilities

  1. Participate in the receipt and acceptance of asset items upon purchase and/or staff separation for completion of administrative formalities such as asset assessment, asset tagging, asset assignment, asset transfer etc. and recording these actions in the IOM Asset Accounting System
  2. Perform the bi-annual physical assets verification of IOM and beneficiary assets for management and statutory reporting.
  3. Assist in the maintenance of the office’s asset register, both online and offline, ensuring its accuracy and completeness for asset reporting purposes whilst maintaining and effective filing system.
  4. Ensure the integrity and operational capacity of asset items for the office by coordinating with respective program/administrative/technical teams on the utility and proper functioning of the asset items
  5. Coordinate with program/warehouse teams on the timely donation of beneficiary asset items evidenced by asset retirement actions in the ERP and regular reports on beneficiary assets shared with program teams
  6. Support the Supply Chain Officer in coordinating with CAS-Asset Accounting on the reclassification, disposal of asset items including other issues requiring their support
  7. Serve as a secretariat for the Asset Disposal Committee and interlocuter between the mission and relevant HQ units
  8. Contribute to the continuous development of the Standard Operating Procedures on Asset Management and providing training to respective units/personnel.
  9. Perform such other related duties as may be assigned

Qualifications

Education
  • Secondary school certificate with at least four (4) years’ relevant experience in asset and/or inventory management
  • Diploma in Business Administration/Business Management/Stock Management with at least three (3) years’ relevant experience
  • Degree in Business Administration/Business Management/Stock Management with at least two (2) years’ relevant experience
Accredited Universities are those listed in the UNESCO World Higher Education Database.
 
Experience
  • Previous experience in finance and accounting, auditing, supply chain and office administration. 
  • Previous experience working with ERP Systems within an international organization
Skills
  • In-depth knowledge of asset management practices
  • Ability to prepare reports and analysis to aid interpretation of source information and data.
  • High level of computer literacy is required, good knowledge of MS-Office, specifically Microsoft Excel 
  • Knowledge in SAP/Oracle will be advantageous
Languages
  • For this position, fluency in English is required (oral and written).
  • Working knowledge of Portuguese is desirable
IOM’s official languages are English, French and Spanish.
Proficiency of language(s) required will be specifically evaluated during the selection process, which may include written and/or oral assessments.
